Dear Faculty Member:
 
As you know for several years the college has offered faculty and students of selected classes access to a student web server dedicated to the use of students who are posting web-based development projects as part of their credit classes.  This web space is located at http://learn.reynolds.edu and each faculty member who requests space has administrative permissions to set up subwebs for their classes and to establish student web spaces and user accounts on that server.
 
You currently have space on this server, which is designed only for the storage of student projects required as part of a JSRCC credit course in which they were currently enrolled.  In effect, it is an expanded version of Blackboard's Digital Dropbox that is more convenient for students to develop, upload and publish web pages for review by their instructors.  Continuing instructional materials should be posted on the Blackboard Content System or on the teach.reynolds.edu server.
 
For a variety of reasons, especially security and consistency of policies and procedures, we intend to establish new terms of use for the learn.reynolds.edu student web server: We will continue to establish subwebs for each faculty member currently teaching classes at the college who requests space on the learn.reynolds.edu server. Such faculty members must agree to the following terms of use:
 
1.  The web space assigned to a faculty member is for use for posting only by students currently enrolled in a credit class at the college taught by the faculty member.  No continuing instructional materials created by the instructor should be posted on this server.
 
2.  The faculty member is responsible for setting up course spaces, student spaces and student user accounts and passwords inside the faculty member's space.
 
3.  The faculty member is responsible for informing students of the student terms of use:  (a) the student space is only for the storage of projects related to the current class; (b) use of the site must conform to Policy 4-32 http://www.jsr.vccs.edu/jsr_acs/policy_4-32.htm (c) all student material will be deleted at the end of each semester and (d) students carry the responsibility of backing up off-line any materials they wish to use after the end of the semester.
 
4.  At the end of each semster, the IT department will delete all course and student subwebs inside a faculty member's web space except for those where the faculty member has requested a continuance because a student will be receiving an Incomplete grade in the course and needs continued access to complete the course work. Spaces continued because of an Incomplete grade will be deleted after the college deadline for completing the course work, which is normally the end of the next full 16-week semester.  Incomplete continuance requests must be submitted by the day grades are due using the Blackboard Incomplete continuance form http://inside.jsr.vccs.edu/_blackboard/teachspace/incompletes.htm
 
5.  The IT department will remind faculty twice before the end of a semester of the date on which spaces will be deleted (the day after grades are due for the semester).  It is the faculty member's responsibility to inform students of this deletion date and remind them to backup off-line any materials they wish to preserve after the semester ends.
 
6.  Before deleting any student web server spaces, the IT department will archive them off-line.
 
It is our intent to implement this policy effective with the end of the Summer 2006 semester.
We would begin archiving and deleting student course spaces on August 4.
